Taxation Made Easy Ltd (“we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and safeguard personal data when you visit our website and when you contact us or use our services.

For UK data protection law purposes, Taxation Made Easy Ltd is the data controller of personal data processed for our website and services.

1. Purpose

This Privacy Policy explains:

  • what personal data we collect and where it comes from;

  • how and why we use it (and the lawful bases);

  • who we share it with;

  • international transfers;

  • retention;

  • your rights;

  • cookies; and

  • marketing preferences.

This Policy complements our Terms and Conditions.

2. Lawful bases for processing

We process personal data on one or more lawful bases, including:

  • Contract – to provide accountancy/tax services you request;

  • Legal obligation – for compliance duties (including tax/record-keeping and related requirements);

  • Legitimate interests – to run, develop and protect our business (e.g., improving services, preventing fraud, securing systems, responding to enquiries, and certain B2B marketing where permitted);

  • Consent – where required (e.g., non-essential cookies and some electronic marketing).

 

3. Personal data we collect (and receive)

We may process the following categories (depending on your interaction with us):

A) Data you provide directly (e.g., by form, phone, email, chat)

  • name, address, email, phone number, date of birth;

  • business details and financial/tax information you provide;

  • communications and instructions (emails, calls, messages, chat transcripts);

  • payment and transaction information (payments are processed by our payment providers; we do not normally store full card details ourselves).

B) Data we collect automatically (website usage)

  • IP address, device/browser type, pages visited, dates/times, cookie identifiers and analytics data (see Cookies).

C) Data we obtain from third parties (bought leads / enrichment)
We may obtain business contact and lead data from third-party sources and platforms such as Apollo and Bark, and may enrich/verify business contact data (for example: name, business contact email, business telephone number, job title, company name, company address/industry, and publicly available professional information).
We may also receive your details from referrals where someone provides your contact details to us.

If you do not provide personal data: where data is required to provide services or meet legal obligations, we may be unable to start/continue services or complete filings.

4. How we use your data

We use personal data to:

  • provide and administer our services (including bookkeeping, accounts, tax returns, payroll, VAT and compliance);

  • communicate with you and respond to queries;

  • verify identity and meet compliance obligations where applicable;

  • process payments and prevent fraud;

  • maintain business records and audit trails;

  • improve our website, services and customer experience;

  • send service updates and marketing where permitted (see Marketing).

 

5. When we provide privacy information if we didn’t collect your data from you

Where we obtain your personal data from a third party (for example, bought lead/enriched contact data), we will provide this Privacy Policy information within one month, and in any case no later than our first communication with you, unless an exception applies under data protection law.

6. Data retention

We keep personal data only for as long as necessary for the purposes in this policy and to meet legal/regulatory requirements.

As a general position, we retain core client and service records for up to 7 years after the end of the business relationship (unless a different period is required or appropriate for specific records).

Marketing suppression lists: if you opt out of marketing, we may keep a minimal record of your contact details on a suppression list so we can respect your preferences.

7. Sharing your personal data

We may share personal data with:

  • internal staff/contractors who need access to deliver services (subject to confidentiality);

  • service providers (processors) such as CRM, cloud storage, phone systems, marketing platforms, analytics/ads providers, and payment providers;

  • HMRC, Companies House and other authorities where required or necessary for service delivery/compliance.

Examples of tools/providers we may use include: Pipedrive (CRM), Mailchimp (email marketing), Google Ads (advertising/measurement), Bark/Apollo (lead/enrichment platforms), Google Drive/OneDrive/iCloud (storage), Dialpad (telephony), Stripe/Wise (payments). Providers may change over time.

8. International data transfers

Some providers may process/store data outside the UK. Where we make restricted international transfers, we use appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum, and we carry out transfer risk assessments where required.

9. Cookies

We use cookies and similar technologies for essential site operation, preferences, analytics and (where used) advertising/measurement.

Non-essential cookies are placed only where you provide consent via our cookie banner, and you can change your preferences at any time.

10. Your rights

You may have rights including: access, rectification, erasure (where applicable), restriction, objection (including objection to direct marketing), portability, and withdrawing consent where we rely on consent.

11. Security

We use appropriate technical and organisational measures designed to protect personal data (e.g., encryption in transit where applicable, access controls and secure systems). No system is completely secure.

12. Personal data breaches

We assess suspected breaches and will notify the ICO where required by law. Where a breach is likely to result in a high risk to individuals’ rights and freedoms, we will also notify affected individuals without undue delay.

13. Children

Our services are not directed at children and we do not knowingly collect children’s personal data. If you believe a child has provided personal data, please contact us.

14. Marketing, bought leads and how to opt out

We may contact you about our services by email, SMS, phone or post, depending on the context and what is permitted by law.

  • Email/SMS marketing to individuals (including many sole traders/partnership contacts) generally requires consent or a valid soft opt-in scenario for existing customers, and the soft opt-in has specific conditions.

  • B2B marketing has different PECR rules in some cases, but you can still object at any time, and we will respect objections.

  • Marketing calls: we screen call lists against the Telephone Preference Service (TPS) and Corporate TPS (CTPS) where applicable and do not make marketing calls to registered numbers unless we have the required consent.

Opt-out: you can opt out at any time by using the unsubscribe link (where available) or emailing info@taxationmadeeasy.co.uk. If you object, we will stop marketing to you.

15. Automated decision-making

We do not use automated decision-making or profiling that produces legal or similarly significant effects.

16. Changes to this policy

We may update this policy from time to time and will publish the latest version with a revised “Last Updated” date.
